Guide to Archive Emails from Web or Cloud-Based Email Clients

Step 1: Download & Run Aryson Email Archiving Software.

Step 2: Choose Source Email Clients. When you select source email clients as Hotmail then follow the given process.

Step 3: Enter your Yahoo User ID and Password after that click on the Sign in button.

Step 4: Now select the folder items that you want to take backup then click on the Next button.

Step 5: Now select Save in File Format or Migrate in Email Clients.

Note: If you want to take backup of Gmail emails in File Format then you need to choose the Save in File Format option or if you want to migrate Gmail emails in Email Clients then you need to select Migrate in Email Clients option.

Step 6: Click on the Select File Format option choose PST from the dropdown list and Click on the Next button.

Note: There are various file formats available in the Select File Format options such as EML, MSG, PST, PDF, MBOX, CSV, and EMLX, etc. so that you can take backup of Gmail emails in those file formats. But we choose PST format from the Select File Format and take backup of Gmail emails as PST file format. If you want backup emails in other file formats then you will have to choose file format options from the Select File Format features.

• Skip Duplicate Email(S) - Check the Skip Duplicate Email(S) option when you want to remove duplicate emails during the backup process.
• Split PST - Check the options when you want to split the restaurant PST file.
• Migrate or Backup Email(S) without Attachment File(s): Check the Migrate or Backup Email(S) without Attachment File(s) options when you want to backup emails from Gmail without Attachments.
• Free Up Server Space: Check the Free Up Server Space options when you want to free the server space after backup of Gmail emails.
• Date Filter: Check the Date Filter options when you want to backup emails according to the date range.

Step 7: Click on the Save Path button and select the destination path where you want to save the backup of Gmail emails as PST file formats. After that click on the Download button, and save the email backup into the PST file in the destination folder path.

Step 8: When the process is completed click on the OK button.

Step 2: Choose Source Email Clients. When you select source email clients as Office 365 then follow the given process.

Step 3: There are two ways to login to Office 365 account, first is to log in with Client Secret ID. Here you need to provide your Application ID, Secret value, Tenant ID, and Microsoft Azure Admin ID, then click the Sign-in button. If you want a direct way to login into Office 365 then go with Modern Authentication( Step 4).

Step 4: Click the Modern Authentication, enter your Office 365 credentials, and hit the Next button.

Step 5: To authenticate your Office 365 ID, enter your user name and click the Next button.

Step 6: Enter your Password and click the Sign in button.

Step 7: Now the software will authenticate your given Office 365 ID. After Successful Authentication please go back to the tool’s interface.

Step 8: After successful authentication, choose the types from which you need to back up. (Mailbox, Online Archive, Public folder)

Step 9: Here, the software will display the folders of the selected Office 365 account. Check the folders from the interface that you need to back up and click on the Next button.

Step 10: From the drop-down menu select the file format or email client here we are going with PST as the saving format.

Step 11: Choose the additional features such as:

• Skip Duplicate Mail on the basis: By choosing this option you can skip the identical email on the basis of Subject, Body, From, and To.
• Free Up Server Space: It helps users to free up space on their webmail server.
• Migrate or Backup Emails Without Attachments: If you want to migrate emails without their attachments then select this option.
• Split PST: In case you have a large PST file and you need to divide it into smaller PST files, select Split resultant PST file.
• Date Filter: Check the Date Filter options when you want to backup emails according to the date range.

Step 12: Click on the Save Path button and select the destination path where you want to save the backup of Gmail emails as PST file formats. After that click on the Download button, and save the email backup into the PST file in the destination folder path.

Step 13: When the process is completed click on the OK button.
