Step By Step Guide To Backup Files In Outlook 2010, 2013, 2016

Step 01: Launch MS Outlook and click on ‘File’ menu and go to ‘Open & export’ on your left-hand menu tab

Step 02: Now under ‘Open & export’ scroll down and click on ‘Import/Export’

Step 03: As soon as you will click on ‘Import/Export’, a new wizard will open up. Click on ‘Export a file’ and click ‘Next’

Step 06: In the final step, you can create a password for this file and if you don’t want to do that just leave the fields blank.

Note: The saving process might take some time depending on the number of emails you have.

Things to Keep in Mind

The PST file that you have just created is not a live files, so you cannot save any recent files in it. However, you can transfer this file to any USB drive, external hard drive or to the cloud. So better, keep it at a safe place and use it when needed.

Note: You cannot just restore or store this files in Outlook. You need to follow a systematic procedure, to restore or recover deleted emails in Outlook from this backup.

Importing Files From Backup to Outlook

Step 01: The process is quite same like we did in creating the backup files.

Launch MS Outlook and click on ‘File’ and select ‘open & export ‘ and then click on ‘import & export‘.

Now in the import & export wizard click on ‘import from another program or file‘ and click ‘Next’

Step 02: Now browse and select the files that you want to restore and click ‘Next’

Note: Select ‘Replace duplicates with items imported’ if the that are there in Outlook is older than the imported files.
Select ‘Do not import duplicates’ if the Outlook emails are newer than the backup file.

Click ‘Allow duplicates to be created’ only when you are looking for certain information in both old and new files as well.

Step 03: Here, you need to select the files that you want to import and the location where you want to save the files. Click ‘Finish’ when it’s done.
